WEF Member Associations and WEFTEC exhibitors and/or sponsors may request meeting, reception, or hospitality space during WEFTEC, subject to availability and the guidelines below.
Request Period: April 28–July 10, 2026
During this period, you may submit a request for space through WEF at the Hilton New Orleans Riverside (headquarters hotel) or the New Orleans Ernest N. Morial Convention Center.
Guidelines & Policies
- No room rental/sublease fee through WEF: There is no cost to reserve meeting space through WEF. Your organization is responsible for any venue and supplier charges, as applicable.
- Conference schedule comes first: To support the WEFTEC exhibition and technical program, WEF may need to limit, adjust, or decline requests if proposed dates/times overlap with restricted hours (see below).
- Limited exception: Exceptions may be considered for one-time training meetings for exhibiting companies’ sales representatives.
- Reasonable use of space: Requests to hold meeting space all day and/or over multiple days cannot be accommodated.
- No product displays outside the exhibit hall: Product displays are prohibited in locations outside of the official exhibit hall(s) at the convention center.

How to Request
Complete the Request Meeting Space form below and select “Save” to submit.
Request deadline: July 10, 2026
- Review & confirmation: WEF Event Management Staff will review requests and assign space as available. Submission of a request does not guarantee space. Confirmations are typically sent from mid-May through mid-July.
- After confirmation: Once your space is confirmed, you will work directly with the venue and suppliers to order and pay for services such as audio-visual, catering, and other requirements.
Other Options
- Explore off-site venues using the New Orleans Venue Search resource (restaurants, attractions, and special event venues).
- Contact WEFTEC Housing (CMR) to reserve a hospitality suite at one of the official conference hotels.
