Exhibit Halls - Carpet & Drape

Aisles Carpet: Tuxedo

10' x 10' booths: 8' high grey back drape; 3' high black side dividers and a one-line, text-only identification sign. Booths 300 square feet or less will receive an identification sign.

The aisles of the Drinking Water Pavilion, Innovation Pavilion, Intelligent Water and Cybersecurity Pavilion, Stormwater Pavilion, and Drone Pavilion will be carpeted in Midnight Blue. 10' x 10' booths in the pavilion areas will be set with 8' high grey back drape, 3' high grey side dividers and a one-line, text-only identification sign. Booths 300 square feet or less will receive an identification sign.

WEF requires all exhibitors to provide flooring for their booth, except for exhibitors in the Innovation Showcase and Discovery Zone

Move-out Hours

Dismantle and Move-out Information
Freeman will begin returning empty containers as soon as the aisle carpeting is removed from the exhibit floor - allow up to 8 hours for empty container return.

All exhibitor materials must be removed from the exhibit facility by Friday, October 6 at 5:00 p.m.

To ensure all exhibitor materials are removed from the exhibit facility by the Exhibitor Move-out deadline, please have all carriers check-in by Friday, October 6, at 1:00 pm.

Labor Jurisdictions

There are two options available to exhibitors to have their displays set up and taken down at McCormick Place. Exhibitors can either set-up / dismantle their display with their own employees, or the exhibitor can hire union labor. 

Should you choose to utilize a contractor for your labor, the following guidelines apply at McCormick Place.

McCormick Place is a union building, and jurisdictions are clearly established. Straight Time, Overtime and Double Time Labor Invoicing will be in compliance per MPEA Legislation.

Above all, there should be no need for disputes. If there is a disagreement, contact your Floor Manager.  They will contact the appropriate contractor, who will take up the matter with the appropriate union official. There are established procedures for settling disagreements and using them will prevent problems.

Riggers
Responsible for uncrating, unskidding, positioning and reskidding of all machinery.

Teamsters
Responsible for the handling of all material (except machinery) in and out of the exhibit hall.

Display Labor (Unified Labor Force Combining Carpenters and Decorators)
Responsible for uncrating  of  exhibits  and  display  materials;  installing  and  dismantling  exhibits,  including  cabinets,  fixtures, shelving units, furniture; laying of floor tile and carpets; hanging and installation of non-electric signs; recrating of exhibits and machinery; installing and dismantling scaffolding, bleachers and ganging of chairs; installing of all drape, cloth and/or tacked fabric panels; and Velcro signs.

Hanging Signs
Depending on the type of hanging sign, it will be assembled & installed by decorators or electricians. See Freeman hanging sign form and/or McCormick Place forms for jurisdictions.

Cleaning/Porter Service
Freeman is the exclusive cleaning contractor. No other cleaning services, including exhibitor appointed contractors are allowed to perform these services.

Electricians
Labor must be ordered for the following:  Distribution of electrical services overhead and under flooring, connection of all service to the building, connection of all services 208v and higher, assembly of truss, lighting, etc. that is suspended from the building structure.

Required Insurance

Your Certificate of Insurance (COI) is due to WEF by September 2, 2023. All exhibitors must submit their COI which meets all requirements listed below to expoinfo@wef.org.

Certificate of Insurance Information

Option 1 – Cost: $75
The Andersen Insurance Group offers WEF exhibitors a short-term policy, specific to WEFTEC 2023, which meets all insurance requirements. Complete the Exhibitor Liability Coverage Application. You will receive a Confirmation of Coverage Certificate as soon as your credit card payment is submitted.

Order Insurance

Option 2 – Cost: Varies
Obtain coverage through your company’s existing policies, which meets all requirements listed below. Coverage must be issued by an insurance company duly authorized to conduct business in the State of Illinois and with an A.M. Best rating of A:VII or better.

Comprehensive General Liability or Commercial General Liability and Automobile Insurance must name the following Additional Insureds: Water Environment Federation, SMG, Owner, Chicago Park District and their facilities, agents, trustees, officers, board members and employees.

  • Comprehensive General Liability (Broad Form) or Commercial General Liability with limit of liability for bodily injury and property damage of not less than $1,000,000.00 per occurrence.
  • Comprehensive Automobile Insurance covering any owned, not owned/hired and hired self-propelled vehicles of the type for use on and off the McCormick Place Complex. Coverage should include loading and unloading hazards.
    • $1,000,000.00 for property damage for each occurrence
    • $1,000,000.00 for all injuries and/or deaths resulting from any one occurrence.
  • Fire Legal Liability in the amount of $100,000.00

Additional insurance protecting exhibitor’s assets and property brought to the exhibit is recommended. Exhibitors must have Worker's Compensation and occupational disease insurance in full compliance with all Federal and State laws covering all employees and independent contractors. Proof of worker's compensation insurance is not required.

Security

Security is provided in the exhibit hall and public areas at WEFTEC primarily to control access and to serve as an overall deterrent. Guards are not specifically contracted to watch over each exhibiting company's booths and goods. Neither WEF nor the security company are responsible for monitoring your belongings.

Exhibitors are advised to treat the exhibit hall as they would any large public area, and safeguard small valuables such as laptops, computer tablets, etc., and to be mindful of items like flash drives or memory cards and lead retrieval units. Whenever possible, small valuable items should be removed by the Exhibitor overnight for safekeeping.

Exhibitors are liable for all thefts, losses and claims related to their participation in the Exhibit and should obtain insurance and liability protection appropriate to their circumstances. If preferred or required, an exhibitor may hire a guard from the contracted security company to guard their booth and belongings.

At any time during move-in, show days, or move-out, if you have a security incident, such as materials damage or loss, please contact Show Management as quickly as possible. You may contact the Exhibition Management Office, a Floor Manager, or the Security Office.

Includes listings in the Conference Announcement, WEFTEC Preview Issue of WE&T, Conference Program, as well as official Mobile App and linked online Exhibitor Directory.

Conference Proceedings
WEFTEC Conference Proceedings for exhibitors will be available online after the conference. Exhibitors will have access to this online system for five years.
