Name Badge Policies

All registrants are required to wear the official WEFTEC name badge to gain entry into the exhibition area and education programs. Badges are nontransferable and must be worn at all times.

Lost Badges:
WEF has instituted a badge replacement cost to defray costs associated with the rising volume of badge replacements. If you lose your badge, please go to any one of the Customer Service counters at the Convention Center

Badge Corrections:
Badge corrections will be made onsite at any one of the Customer Service counters located at the Convention Center

Camera Policies

Photography and Social Media Policy
WEF encourages the use of social media to share your experiences at our event. This includes sharing interesting quotes or information, taking pictures with colleagues, and using the event hashtag. However, to protect intellectual property, the videotaping, filming, or live-streaming of any workshop or technical session presentation, or exhibit booth is prohibited. Any participant violating this policy must relinquish the media and may be removed from the conference. Also, promotional or commercial use of photographs taken at WEFTEC and other WEF conferences is strictly prohibited. If you are interested in content, materials, or products, please consider talking to the speaker or exhibitor, who may provide the information or grant permission.


Publicity Notice and Release
During WEFTEC 2019, the Water Environment Federation (WEF), its employees and agents, will be photographing, videotaping, and audiotaping the programs and events of the conference. By voluntarily attending and participating in WEFTEC 2019 you grant an exclusive, royalty-free, non-revocable license to WEF to record your likeness and voice on video, audio, photographic, digital, electronic, or other mediums now or hereafter developed, including but not limited to print publications, videotapes, DVD, internet, live streaming, and podcasts, in and for all languages, for WEF’s educational and promotional purposes throughout the entire world.

Cancellation Policy

All conference registration cancellations and refund requests must be made in writing to [email protected] by August 30, 2019; telephone requests WILL NOT be honored. A refund of all fees, minus a 25% service fee, will be given for cancellations received by that date. Cancellations received after August 30, and registrants who fail to attend the conference are liable for the full registration fees. 

Letter of Invitation Policy

Conference participants who require an invitation letter to enter the United States must first register and pay for the conference before a Letter of Invitation will be issued.  You may request a Letter of Invitation as you register for WEFTEC.

WEF will only issue a Letter of Invitation to the following verified conference participants:

  • Conference Attendees
  • Conference Speakers

Letters of Invitation will be emailed as a PDF document. Print copies will be mailed only at the requesting conference attendee's expense. UPS or FedEx account number must be provided by the participant in order to receive a print copy of the Letter of Invitation.

 

Payment Policy

Register Early and Save!  - Best Rate Deadline: July 12, 2019. 

Advance Registration: All conference registrations and payments must be submitted online at www.weftec.org . An official WEFTEC email confirmation will be issued once the registration is complete and the balance is paid in full. 

Methods of Payment

All individual conference registrants must select one of the following payment methods to complete a registration online:

  • Credit cards: VISA, MasterCard and American Express
    • Full payment is due at the time of registration
    • Registrants will receive an immediate email confirmation/receipt, after they register online
  • Check Payments: Company or personal checks made payable, in US dollars, to the Water Environment Federation. WEF charges a $25 non-refundable application fee per registrant to process check payments. Individuals that select the check option are not considered confirmed registrants until full payment is received and processed.
    • Best Rate Check Payment Deadline: Check payment forIndividuals that register during the Best Rate period, must submit their check by July 12, 2019. If payment is not received by July 12, individuals will be charged the higher rate (Standard Rate).
    • Standard Rate Check Payment Deadline: Check payment forIndividuals that register during the Standard Rate period, must submit their check by August 30, 2019. If payment is not received by the postmarked date of August 30, individuals must pay onsite at McCormick Place.

When paying with a check, attendees must first complete the online registration indicating that they are paying with a check. Once complete, attendees must print the online registration invoice, attach payment, and mail to the following address:

  • Wire Transfers: WEF charges a $25 non-refundable application fee per registrant to process a wire transfer. Please include the registrant name(s), company and WEFTEC registration ID number. (Wire Transfers are not accepted onsite.)

Returned Checks

If a check is returned to WEF (insufficient funds, stop payment, etc.), the registrants will be responsible for paying the full amount of the check that was returned as well as a mandatory $35.00 returned check fee. 

No Wait-List: All registrations for workshops, facility tours and events will be processed in the order in which they are received with payment. Once a workshop, tour or event is fully subscribed, registration will be closed. Wait-lists will not be maintained. Do not plan on attending a workshop, tour or event unless you receive a confirmation notice that will admit you to the event. Your credit card will be charged only for confirmed registration.  If you pay by check for a closed event, WEF will mail you a refund check for that event.

Collection and Use of Information

Through our registration vendor, WEF captures individual information, including contact information and demographics for the purpose of doing business with WEF including:

  • Producing badges for access to the Conference event(s)
  • Conference surveys and evaluation
  • Marketing emails and mailings
  • For use in the Conference mobile app

EventBit
EventBit is a Bluetooth low energy device that will be used at WEFTEC 2019 in order to better understand attendee interests.  The information collected will be used to:

  • understand and meet your needs and preferences
  • develop new and enhance existing services and product offerings
  • provide you with relevant information on WEF and/or WEF’s products and/or services

If you don’t want to participate, please go to Customer Service upon arrival and have your record updated.

Release and Assumption of Risk Terms

By registering for WEFTEC, attendees attest that they are aware of the common dangers of travel and participating in the meeting/events and will assume all personal liability for their participation in WEFTEC.

SMS Alerts Policy

By providing your mobile phone number to WEF, you consent to receiving text messages alerts in the event of an emergency.

WEF does not charge for this service, but standard text messaging rates may apply as provided in your wireless plan (contact your carrier for pricing plans and details).

If you do not wish to receive emergency alert messages, you will be given the opportunity to opt-out during the registration process.

Substitution Policy

A transfer of your full registration to another individual is permitted prior to the conference by submitting written request to [email protected] by August 30, 2019.  Substitutions needed after August 30 must be done at the convention center.

Onsite transfers must be accompanied by proof of the original confirmation letter. The individual submitting the transfer request is responsible for all financial obligations (any balance due or difference between member and non-member rates) associated with that substitution. Funds from this program cannot be transferred to another program. Registrants must transfer their entire registration to a new person, not just a portion. Badge sharing and splitting are strictly prohibited.

Please note: Once the substitution is complete, you will not be able to cancel for a refund.
