WEF Members and WEFTEC Exhibitors can reserve one of the two semi-private conference rooms on a first-come, first-served basis. The Huddle Room is open Sunday-Wednesday, September 27-30, between 8:00 am – 6:00 pm (all meetings must end at 6:00 pm). There is a limit of 2-hours maximum per meeting. No catering is allowed in the Huddle Room.
Huddle Room A is set in a permanent conference style for 14 people with 42" flat screen monitor that can be used for projection (user must provide laptop). Huddle Room B is set in a permanent lounge style setup that includes a sofa, side chairs, cocktail and end tables, and table lamps for 4-5 people.
The “collaboration stations” located in the open area of the meeting room can be reserved on a first-come, first-served basis onsite at WEFTEC. The Huddle Room is located in room N231, McCormick Place North.

Meeting & Reception Space Requests
WEF Member Associations, WEFTEC Exhibitors, and other affiliates are invited to request meeting or reception space at the Hilton Chicago (headquarter hotel) or the Hyatt Regency McCormick Place (adjacent to the convention center).
WEFTEC 2015 In Conjunction With (ICW) Event Policies
- WEF does not permit exhibitor and affiliate functions to be scheduled in conflict with official programming hours: Mon.-Weds., September 28 - 30, between 8:30 am – 5:00 pm. Exception: training meetings for exhibiting companies’ personnel and/or manufacturers’ representatives.
- WEF also prohibits product displays in hotel suites and locations other than the official trade show floor at McCormick Place, as noted in each exhibiting company’s license agreement.
How to Request Space
Space can be reserved through WEF at the Hilton Chicago or the Hyatt Regency McCormick Place.

- Meeting/reception space is assigned in date-received order based on the specifications provided in the application (linked above). Deana Gissendanner, WEF Meeting Manager, will begin to assign and confirm space in mid-April. If you have questions or concerns in the meantime, please contact Deana either by email: email@example.com or by telephone: +1 703-684-2431.
- Once space is assigned you will be put in touch with an event manager at the hotel with whom you will negotiate a contract. Both the Hilton Chicago and the Hyatt Regency McCormick Place require clients to meet a food & beverage minimum and to pay room rental fees. These costs must be discussed and negotiated directly with the hotel. You are not obligated to move forward with a contract if you are dissatisfied with the pricing and you will not be penalized if you cancel the space hold through WEF before signing a contract with the hotel.
