IAEM Guidelines for Display Rules & Regulations

The display rules and regulations are provided to assist exhibitors with the information necessary to properly design and build exhibits as well as plan their booth layout.  The rules outlined will strictly be enforced.  Please note: Revisions in the guidelines have been made as they pertain to the WEFTEC Exhibition.  Download the IAEE Booth Guidelines.

Hanging Items

Freeman and FOCUS One are responsible for hanging signs and other items.

Freeman will hang items weighing less than 500lbs.  FOCUS One will hang items weighing 500lbs. or more.  This also includes electrical items regardless of weight.  For items weighing 500lbs or more, drawings must be submitted to FOCUS One for approval.  Drawings must be reviewed, signed and stamped by licensed structural engineer to certify structural integrity and safety.  Please note:  When an item weighing less than 500lbs. is hung from a motor, FOCUS One will install the motor but Freeman will hang the item.

Deadlines
Request must be submitted to FOCUS One for approval by August 20, 2008.
Orders are to placed through Freeman no later than September 30, 2008.

Union Jurisdictions/Exhibitor Work Rights

To assist you in planning for your participation in WEFTEC, you need to know that union labor will be required for certain aspects of your exhibit handling.  The information below will help you understand the jurisdiction the various unions have.

One full-time employee of the exhibitor may work in a booth of 300 sq.ft. or less. Additionally, exhibiting company personnel may work along with the Union Labor to install your booth on a one-on-one basis.  Carpenters or Decorators must perform work involving the use of power tools and ladders.

Individuals may be asked to produce verification that they are full-time employees.  Failure to produce verification will mean that the person will cease work and union labor will be hired.  Union labor is available through Freeman.

Carpenters Union
This union claims jurisdiction over uncrating of exhibits and display materials; installing and dismantling exhibits including cabinets, fixtures, shelving units; floor tile or carpet and hanging structural signs.

Decorators Union
This union claims jurisdiction over hanging signs and installing drape or tacked fabric panels.  They are also responsible for Velcro signs used in a booth that require tools or more than one person for installation.

Exhibitors may hang their own signs using any other type of fastener as long as no tools or ladders are required and the total time to hang the sign does not exceed 1/2 hour.  Additionally, you may skirt tables provided you do not use staples, snaps or Velcro.

Teamsters Union
This union claims jurisdiction over handling of all materials (except machinery) in and out of the exhibit hall.

Exhibitors may carry in small packages, including pop-up booths, provided they can be hand carried by one person in one trip.  Dollies, hand-trucks and other mechanical equipment are not permitted.

Photography Regulations

Photography in the exhibit halls is prohibited.  Any exhibitor taking photographs or videotape of another’s exhibit or product without permission must relinquish the film or digital media upon request.

Building Policies and Fire Safety Regulations

The McCormick Place is a smoke-free facility.  The facility includes the parking garage, dock areas, and stairwells. Smoking stations are located outside the facility.

  • No storage of any kind is allowed behind booths or near electrical service.
  • All exit doors, exit signs, fire hose cabinets, fire extinguishers, standpipes or any other life safety equipment must be visible at all times.
  • All materials used in exhibit construction, decoration or as a temporary cover must be certified as flame retardant, additionally a fire retardant certificate must be posted or readily available within the exhibit.  Materials which cannot be treated to meet the requirements may not be used.
  • Aerosol cans used for display purposes MUST BE empty cans.
  • Containers of flammable liquids are prohibited from display or use within the facility.
  • The use of hazardous materials are not permitted.
  • Convention Center sewer lines or drains may not be used to dispose of hazardous waste.  Prior arrangements must be made for disposal and provided to the Exhibition Manager in writing.

Emergency Procedures

An emergency is defined as any condition that exists (or is likely to occur) that endangers the safety of occupants in the facility.  In the event of an emergency condition, it may become necessary to evacuate a portion or all of the facility following the McCormick Emergency Procedure Instructions.

All emergencies and/or assistance of any nature should be reported immediately to the McCormick Place personnel.  The convention center personnel will notify show management and coordinate any required response from outside law enforcement and emergency agencies through McCormick Place building security.

Vehicle Displays

Vehicles on display must adhere to the following guidelines:

  • No more than 1/8 of a tank of gasoline or diesel fuel is allowed.
  • Fuel tank openings shall be locked or sealed to prevent escape of vapors.
  • Batteries must be disconnected once the vehicle is positioned. 
  • A drip pan under the vehicle’s drive train
  • The event Security Company must keep keys for the vehicles.
  • Vehicles shall not be moved/engine cannot be operated during show hours.
  • Refueling is prohibited in the facility and must be done off property.

Americans with Disabilities Act

The Americans with Disabilities Act, in short, is a civil rights act providing equal opportunity in the areas of employment, state and local government services, public accommodations, transportation and telecommunications.

Wheelchairs, designated parking, TDD telephones, aisle and companion seating, assisted listening devices and other services are available at McCormick Place.

Lighting Restrictions

Exhibitors should adhere to the following suggested minimum guidelines when determining booth lighting:

  • No lighting, fixtures, lighting trusses or overhead lighting are allowed outside the boundaries of the exhibit space.  Exhibitors intending to use hanging light systems should submit drawings to exhibition management for approval.
  • Lighting should be directed to the inner confines of the booth space.  Lighting should not project onto other exhibits or show aisles.
  • Lighting which is potentially harmful, such as lasers or ultraviolet lighting, should comply with facility rules and be approved in writing by exhibition management.
  • Lighting that spins, rotates, pulsates and other specialized lighting effects should be in good taste and not interfere with neighboring exhibitors or otherwise detract from the general atmosphere of the event.

Age Restrictions

Children under 18 entering the exhibit hall during show hours must be accompanied by a parent or guardian at all times.  The parent or guardian assumes all risk and responsibility for each child.  Children are not allowed in the exhibit hall during move-in and move-out.

Food and Beverage

All food and beverages must be secured through the official caterer, Levy restaurant.  Any sampling and giveaways pertaining to food and beverage must have written authorization from a catering representative. 

Please note: WEF does not allow popcorn in the exhibit hall but has no other restrictions on food or beverages.

Equipment/Product Removal Pass

Products may be removed from the exhibit floor with a property removal pass at the show closing.  Property removal passes are available at the Show Management office located in room N227.

Passes are available only to exhibitors who present the proper exhibitor badge credentials and personal identification.

Giveaways, Literature Disbursements, Etc.

Exhibitors must confine their activities on the grounds of the exhibition facility to the space for which they have contracted; this includes the distribution of printed materials and the placement of signs.  Drawings, lotteries, and/or contests that have prizes of substantial value (for example: cards, boats, etc.) are expressly prohibited.  All giveaways, contests, drawings must comply with local legal requirements.
