Exhibitor Appointed Contractors


General Information

An Exhibitor Appointed Contractor (EAC) is any company other than the designated "official" contractors listed in this service manual, which provides a service (booth installation/dismantling, security personnel, florists, photographers, audio/visual, etc.) and needs access to your exhibit anytime during the installation, show dates and dismantling.

All EAC's must be a registered member of the Illinois Exhibitor Appointed Contractors Association (IEACA).  EAC's that are not registered with the IEACA will not be allowed to work on the show floor.

WEF will consider exceptions to the use of official contractors only in the following cases:

  • Permission has been requested by the exhibitor using the Notice of Intent Form. Authorization requests must come from the exhibiting company.

  • EAC's have submitted an EAC Agreement and Certificate(s) of Insurance.

  • EAC insurance must maintain policies covering Commercial Liability with minimum combined bodily injury and property damage limits of one million dollars ($1,000,000) each. Additionally, Worker’s Compensation and Employers Liability with minimum limits of $100,000 each for bodily injury by accident and disease.

          The EAC must name the following as additional insureds:

“WEF and the Metropolitan Pier and Exposition Authority, its facilities, agents, officers, board members and employees as additional insureds.  Additionally, the Chicago Park District, its agents, officers, board members and employees must be named as additional insureds."

Copies of Certificates of Insurance must be sent to WEF before commencing work in the McCormick Place or its property.

A list of approved EACs will be on hand at all times, should the venue be notified that work is being performed by an EAC not on the approved list, an authorized individual representing the venue will investigate and take the necessary actions through Show Management to ensure compliance with the EAC rules.

Requests for substitutions to an EAC selection after the deadline of August 1, 2008 will not be considered.

Failure to meet any of the above requirements will prohibit the EAC from accessing the show floor and/or servicing EAC’s client.

Use of an EAC is subject to WEF’s contractual obligations, security and safety requirements. If any exhibitor brings an EAC onto the exhibit floor, that exhibitor is responsible for that contractor's worker's compensation and liability insurance certificates, and must send them to WEF. Under no circumstances shall these procedures be circumvented.

Exhibitor Notice of Intent to Use an EAC

All WEFTEC Exhibitors must submit a Notice of Intent form if you plan to use any contractor not identified as an Official WEFTEC Contractor.  This form must be completed by an employee of the exhibiting company and received by WEF no later than August 1, 2008Requests received after that date will not be accepted.  Contractor approval will be based on the receipt of required documents from the exhibitor and contractor.

IMPORTANT: Please inform your EAC that the WEF Exhibitions Group requires an original certificate of insurance and signed EAC Agreement no later than August 29, 2008.

EAC Rules and Regulations

All Exhibitor Appointed Contractors are required to read and adhere to all rules and regulations as outlined in the Water Environment Federation License and Rules for WEFTEC® Exhibitors.  All EAC's must be a registered member of the Illinois Exhibitor Appointed Contractors Association (IEACA)  EACs that are not registered with the IEACA will not be allowed to work on the show floor.   For more information, call 630-543-7901.

EAC Agreement

Any Exhibitor Appointed Contractor (EAC) hired to work in an exhibitor’s booth must complete and return the EAC Agreement and all required documents to WEF by August 29, 2008.

Each EAC must provide WEF with a certificate of insurance with coverage of worker’s compensation on all employees onsite at WEFTEC and must maintain general liability insurance naming WEF and the Metropolitan Pier and Exposition Authority, its facilities, agents, officers, board members and employees as additional insureds.  Additionally, the Chicago Park District, its agents, officers, board members and employees must be named as additional insureds in an amount not less that $1 million per occurrence.

Work Passes/Wristbands

All EAC Personnel must have a work pass in order to gain access to the exhibit hall(s). NO ONE WILL BE ADMITTED TO THE SHOW FLOOR WITHOUT THE PROPER CREDENTIALS.

When ordering work passes, include labor and supervisory personnel in your request. Work passes are for employees of EAC and are to be worn at all times during installation and dismantle. If access to the show floor is needed during the show days, you must obtain a badge from the exhibitor allotment. Request only the number of passes you actually need for your company's use.

Union labor hired from Freeman will have wristbands or badges.

EAC Access to Online Service Manual

If you agree to have your contractor order services on your behalf, you are responsible for providing information from the online service manual to your EAC.  WEF will not give out this information to anyone other than our exhibitor key contact person as indicated in our records.
